Sparks Media Studios Collaborates with CNDC on OOH Contract Management System

Web-based system to centralize contracts, renewals, and vendor data across 20+ CNDC properties and 240+ boards
Tuttle, Oklahoma — Sparks Media Studios, LLC today announced its collaboration with the Chickasaw Nation Department of Commerce (CNDC) on a contract management system designed to support outdoor advertising (OOH) work across more than 20 CNDC properties. The web-based system brings contracts, renewals, boards, vendors, and (in later phases) invoice workflows into one place for CNDC's contract and marketing teams.
The CNDC oversees a broad portfolio of businesses and economic development initiatives. Within that work, the OOH team manages contracts for more than 240 boards across 20+ properties and 40+ vendors, each with its own renewal dates, rates, and documentation. Until now, much of this information has lived in spreadsheets, email threads, and separate files, making it harder for staff to see which contracts are coming up for renewal and where agreements sit in their lifecycle. The contract management system is designed to give staff a single, searchable system for tracking contracts and renewals, managing boards and their relationships to contracts, organizing vendor information and attachments, and—in a future phase—supporting invoice status and related workflows.
Sparks Media Studios is delivering a web-based application that runs on modern cloud infrastructure and follows an employee-first design approach. Key areas include a centralized contracts workspace with full lifecycle management; a renewal-focused view that surfaces upcoming expirations and connects renewals to contracts and vendors; tools to manage boards and properties and link them to contracts; and centralized vendor records with contact information, notes, and links to active and historical contracts. Invoice management features are in scope for later phases. The project follows a phased plan, with foundation work, contract and renewal flows, dashboards, and security audits preceding launch. Documentation and training materials are being developed alongside the software.
Throughout the project, CNDC and Sparks Media Studios have used real workflows—from contract review to renewals and vendor follow-up—as the primary design input. Renewals are linked directly to their contracts and surfaced in a single view that shows which agreements are overdue, which need action in the near term, and which are still in planning, so contract administrators and marketing leaders can see at a glance where attention is needed.

The contract management system is expected to be available within a few months of project kickoff, with staged releases so CNDC's team can test and provide feedback at each milestone.
